一、接待原则
公司接待客户的宗旨、原则和目的。
宗旨：让客户有宾至如归，亲切，舒服的感觉; 原则：注重细节，相互尊重，共同发展;
目的：提高公司来访客户下单(当场下单以及访后下单)率，发展来访客户为公司忠诚客户。
二、接待准备
1、业务部门：
(1)当接到客户来访信息时，应落实来宾基本情况：来宾国家、来宾职务、来访具体时间、人数、本地逗留时间、目的和要求等。
(2)落实客户的行程安排或行程单(包括是否旅游)，弄清客户到访时间、航班、酒店住宿要求、是否需要接机、是来公司还是要参观工厂等信息，并提前3-5天告知操作人员，以便安排相应接待。
(3)在客人到来之前打电话跟进，主动询问客人位置，主动和司机沟通。 (4)布置展厅：提前五天通知行政部门，告知展厅布置要求，协调相关样品、海报、物料、国旗、鲜花等相关准备工作。
(5)提前一天准备报价单和产品目录，易于携带的小样品;色板、计算器、尺、笔记本、订书机还有针对性的报价单。
(6)负责跟各个部门沟通，传达相关信息。
2、行政部门
(1)制作接机牌(如果需要)：应包含来宾的名字，具体样式：
(2)成套茶具或者咖啡杯，提升公司档次和品位，咖啡杯最好是纯白的瓷杯，茶杯可以用玻璃杯。
(3)饮品及水果：业务部门在客人到来一天前要告知，给客人准备什么样的饮品：茶、咖啡、饮料等，并准备当季新鲜水果。
(4)纪念品：业务部门提前3天告知行政是否需要准备纪念品，经公司领导审批后，行政负责采购并提前一天交给业务部门。

3、工厂
(1)工厂提前一至两天对办公室、展厅、车间、卫生间、食堂、庭院等处做彻底的清扫，并在清扫结束后按照客户参观路线走一遍，确保没有遗漏的死角。
(2)参观和谈判可能用到的物品：数码相机、预先准备好的工厂产品视频、产品目录和企业介绍(包括常用的付款方式，生产周期等)。
(3)工厂门前欢迎客户来访的接待牌或横幅，让客人感觉其受到重视。
(4)会议室的安排，会谈资料的准备，包括企业演示文稿的准备，以及客户相关需要展示的文件资料，公司的实力资料等。
(5)准备好茶水及食品糖果。 (6)必要时打印接待通知，下发给相关工厂。检查分区标志、设备操作规范、员工个人防护等是否完整规范。
三、接待期间
接待人员在由机场至公司，或公司至工厂的路上，和客户进行有礼貌的寒暄，可以介绍一下城市的情况、风土人情、景点等内容。
1、公司接待：
(1)接到会议室后，让客人先进入，并且向客人礼貌问候微笑着说“请进”及伸手示意方向。请客人进入后再慢慢关上房门，跟随进屋。
(2)介绍时，先介绍公司接待领导，客人有先知情权，先绍男士后介绍女士，先介绍晚辈后介绍长辈，先介绍位低再位高者。
(3)请客人落座时，最好让他们坐在一起，而不要分开。
(4)客人落座后，首先应端上茶水/咖啡/饮料(依客户所需)，如果是盛夏，也可以送上清凉饮品。
(5)客人如果需要会议室或者多媒体，需要在客户来之前提前安置好(提前准备公司宣传片及自制的PPT)。
(6)进入展厅：建议不仅仅谈工作，可以询问客人行程，对中国印象等等话题，拉近与客人之间的关系，缓和气氛，如果客人时间充足，可以带客人在公司逛一下，介绍公司企业文化(包括公司的机构，部门，照片墙，可告知客户我们公司愿景规划等)。 (7)客人如果遇午、晚餐时间，需要请示相关领导提前预订何种档次的酒店。
(8)洽谈结束，可以根据情况准备公司小礼品赠与重要客户;每次待客结束，都要以欢迎“再次见面”的心情来恭送对方。
(9)如客户需要订返程机(车)票的，可联系行政部门(廖聃宁)提前网上预定。
(10)根据情况送客户至写字楼外、酒店或是飞机场。如有送机，需要陪同客户一起办理好登机牌再道别。可以在客户离境前，打电话道别。
2、工厂接待：
工厂接待经公司领导审批，公司的工厂由人力资源部(施红霞)负责衔接，并及时通知工厂做好接待的准备工作，并告知陪同领导。合作工厂由业务员负责衔接。具体接待工作包括：
(1)向人力资源部递交来访客户信息及人数，安排接待牌(支持英文)。
(2)是否需要公司派车。 (3)是否需要招待。
(4)是否需要会议室及投影设备。
(5)是否需要准备礼品，及特殊礼品的采购。 (6)如需安排住宿和用餐，需提前联系并预订酒店。 (7)在客户即将到公司之前，至少需提前提前一天电话确认客户抵达时间和迎接地点，并通知司机准备车辆提前在指定地点接客户上车。

四、接待反馈
按照行程安排，送走客户后，及时发邮件给客户，一是问候，二是将本次访问双方的会谈纪要和照片发给客户，并提醒客户查收，如有遗漏及时补齐。
五、接待过程中注意事项
1、对于客户的饮食习惯要了解，是否是穆斯林，是否有忌口等。
2、如在接待过程中需要请相关部门人员协助或出席时，需提前通知相关人员。
3、当确定来访客户职位级别较高或影响力较大时，需公司领导出席。
4、接待人员在接客户来公司时，出发前应电话告知相关领导，提前做好接待准备。

我和大家分享一下从采购商的角度看外贸业务员, 希望对大家有帮助, 兼作自我介绍.采购商订单从哪里来?发到哪里去?
采购商一般从总部那里, 或者从所在国关联公司得到采购的任务.我们还有其他的同行一般是这样, 打电话给最熟悉的供应商, 了解一些信息. 发询盘给熟悉的供应商, 然后把从展览会上面的供应商名单数据库里面的工厂洒一遍, 外贸网站再撒一遍采购信息.
从中国得到offer 以后, 回复给公司总部. 正常情况下, 总部过来的采购的任务是非常多而且不一定完整的.所以外贸人员最好能做到两点,
第一是非常快的回复. 采购部门的迅速有效的回复总部是非常重要的一个考核指标. 比如20个项目的日用品单, 一般3天之内就会回复完成.之后过来的迟到的offer只能放在文件夹里面归档.所以速度是第一关键.
第二是完整的回复. 这需要报价业务员对自己的产品非常了解.经常采购的信息是不完整的, 业务员最好依靠自己的产品知识,在email 中对产品有完整的介绍. 同时包括自己的工厂信息(名称, 地址, 工厂人数, 技术人员人数,主要产品, 产量,销售量, 有没有外贸权,),产品的其他信息,包括类似产品推荐, 或者提供给采购商可能的其他选择. 还有一部分是商务信息,包括交货期,最少订货量,包装,港口,付款方式等等.这对促成最终成交非常有帮助. 重要的是: 在第一封email中就分几个部分完整的介绍.
我以前常常收到一两句话的传真或者email.上面只有一个价格. 在我看来,这样的回复会给我这样几个印象：
1. 回复者是贸易公司或者个人, 看到讯盘就打听价格,加上利润以后就报价过来
2. 回复者对商务方面不是非常熟悉, 继续谈下去可能在许多环节上,需要很多时间相互沟通.
3. 同这样的公司做生意, 会像挤牙膏一样, 时时催促工厂, 非常消耗精力.
回复的内容完整, 但是需要注意简洁. 不要把工厂的创业史也搬出来,也不要把口号,标语贴上去.
采购商的难处,兼谈杳无音讯咋办?
采购商和外贸业务员一样, 有自己的难处, 第一是需要找到qualified 供应商. 之后的业务中如果出现各种问题, 都会追溯到挑选供应商的环节上.所以, 有实力的供应商展现自己的实力是非常重要的.当然, 虚假之词只能靠采购商自己考察辨别了.
价格是另外一个问题. 采购的目标价格通常是非常的低.所以一次沟通就成交非常困难. 许多订单的谈到最后就是价格问题.总部也需要时间判断.
采购执行每天面对的主要内容是总部, 还有正在执行的订单. 所以对于讯盘阶段的供应商,没有太多时间主动打电话. 邮件也是疏于回复. 这是经常发生的. 供应商不必泄气. 在此提出两点是供大家参考的.
1 .报价实在一点, 否则总部确认的继续联系的名单中就没有你, 同时力求完整,参考前文所讲. 无论外籍还是中方的员工都喜欢这种报价单.
2.主动联系是重要的. 采购职员也是人, 也很懒惰. 总是希望能有热情的供应商主动联系, 提供新的信息. 省下自己的时间. 当然注意联系的方法和方式.
采购执行过程中供应商出现问题是经常发生的情况. 在此情况下, 采购方会考虑其他的供应商.这也是为什么有的客户消失一年半载以后又出现的原因.保持最低限度的联系是一个外贸人员的好习惯.这个习惯的难度在于, 几个月半年过去没什么效果. 从这个角度来讲, 你
必须佩服一些外贸公司的老的业务员十来年的积累.他们的外语, 产品知识可能都不如一些大学生, 但是十几年的客户积累确实是一笔巨大的财富.
为什么要p/I
为了显示自己很牛,效率很高, 经常在收到采购任务一两天之内就会给总部传真p/i. 供应商切不可自己偷着乐. 这时, P/I 主要的性质是供应商单方面的销售承诺. 是否执行的选择权在采购方. 采购方往往一个订单传真2份以上的不同工厂的P/I.
另外一个好处是, 工厂在开出P/I以后, 往往会认为采购方很有诚意, 或者认为成交的可能性非常大. 经过几天以后, 采购方还可以回过头来要求供应方对P/I作一些修改. 一般包括付款条件, 免费的零配件或者些许折扣等等, 在这个阶段, 我个人认为比一开始就向供应商提出要求更容易达到目的. 这通常也是我们惯常的做法.
该不该寄样品?
这是一个让工厂很头疼的问题! 每周差不多都有人要样品? 每次都寄,实在吃不消, 况且大多数都石沉大海.从采购商的角度来讲, 我愿意和大家分享一下这方面的感受.
1.样品费. 我个人建议工厂还是主动提出样品费的问题. 其实采购商都是被惯坏的.越是可能成交的生意, 采购商越是不会吝啬样品费.然而, 实际的情况是, 大多数中国工厂都生产一样的产品. 你不答应, 自然有别人答应免费. 所以我建议花一点时间研究一下自己的产品有多大程度上的独特之处. 对于基本没有自己特色的产品, 竞争又非常激烈, 同时又渴望订单, 你只好免费寄了. 采购商如果面对同样的几家工厂, 产品大致一样, 有的免费,有的坚持收费, 我还掏钱去买样品,岂不是白痴?
